How to Create a Professional Invoice as a Freelance Designer in Ghana

Getting paid as a freelance designer in Ghana should not be harder than the actual design work. But for a lot of creatives in Accra, Kumasi, and Tema, chasing payments is a weekly frustration — and most of the time, the problem starts with the invoice itself.

A weak invoice tells the client your business is not serious. A professional one protects you legally, speeds up payment, and sets the tone for every project that follows.

What a Freelance Design Invoice Must Include

Whether you are charging GHS 800 for a social media kit or GHS 5,000 for a full brand identity, every invoice needs the same core information.

Your business details:

• Your full name or business name (e.g., "Benjamin Amoah Design" or "Geek Creatives Studio")
• Your location — at minimum your city (Accra, Ghana)
• Your email and phone number (WhatsApp number counts)
• Your Ghana Card number or TIN if you are registered with GRA

Client details:

• Client's full name or company name
• Their address or location
• Their email

Invoice specifics:

• A unique invoice number (start at INV-001 and count up)
• Invoice date
• Payment due date — write this explicitly. "Due upon receipt" gets ignored. "Due by 15 June 2026" gets paid.

Itemised services: Break down what you did. Do not just write "design work — GHS 2,000." Write:

Itemising shows the value of each deliverable. It makes the client feel like they got what they paid for — and it reduces disputes.

How to Handle Tax as a Freelance Designer in Ghana

Many designers in Ghana skip this section entirely and then panic during audits. Here is what you need to know at a basic level.

If you are registered with the Ghana Revenue Authority (GRA) and have a TIN, you should indicate that on your invoice. If your annual income exceeds the VAT registration threshold (currently GHS 200,000), you are required to register for VAT and charge 15% VAT on your services.

For most freelancers just starting out, you will not hit that threshold quickly. But adding a line that says "VAT: N/A — Flat Rate Taxpayer" or "VAT registered — 15% included" shows clients you run a proper business.

If you are unsure, it is worth a one-hour consultation with an accountant in Accra. Many work on WhatsApp for around GHS 150–300 per session.

Payment Methods to List on Your Invoice

Your invoice must tell clients exactly how to pay you. In Ghana and across West Africa, the most reliable options are:

Mobile Money:

• MTN MoMo — most widely used. Include your name and number.
• Vodafone Cash / AirtelTigo Money — secondary but still common
• Format: "Pay to: 024XXXXXXX (Benjamin Amoah) — MTN MoMo"

Bank Transfer:

• List your bank name, account name, account number, and branch
• Ecobank, Absa, GCB, Stanbic, and Fidelity are common for freelancers in Accra

Chipper Cash or Wave:

• Growing in use, especially for clients in Lagos or Nairobi sending money cross-border

Flutterwave Payment Link:

• If you work with clients outside Ghana, generate a payment link in USD or GHS. Flutterwave is widely trusted across Nigeria, Kenya, and Ghana.

Always list at least two payment options. A client in Lagos sending GHS equivalent should not be stuck because you only listed a GCB account.

The Deposit Rule — Protect Your Work Before You Start

Every freelance designer in Accra should collect a 50% deposit before touching a project. This is non-negotiable, especially for new clients.

Your invoice flow should look like this:

1. Send a Proforma Invoice — lists the full scope and price, requests 50% deposit upfront
2. Start work only after deposit is received
3. Send the Final Invoice — balance due before handing over final files

Add a note at the bottom of your invoice: "Work begins after 50% deposit is confirmed. Final files released upon full payment."

This single rule will save you from the nightmare of completing a GHS 3,000 project and then chasing a ghost.

Designing the Invoice Itself in Canva

You do not need expensive software to produce a professional invoice. Canva has invoice templates you can customise in under 10 minutes.

Go to Canva and search "invoice" in the template search bar. Filter by "A4" to get print-ready sizes. Choose a clean, minimal template — avoid ones that are too decorative. Your invoice should look like a business document, not a flyer.

Customise it with:

• Your brand colours (even just one accent colour makes a difference)
• Your logo in the top left or top right
• Canva's table element for your line items — it keeps everything aligned
• A text box for your payment details and terms at the bottom

Use Canva's Share → Download as PDF for the final file. Send it as a PDF, never as a PNG or screenshot. A PDF is a document. A PNG is a picture. Clients take documents more seriously.

If you have Canva Pro, save your invoice as a Brand Template so you can reuse it every time without reformatting.

Late Payment Terms and What to Write

Add a late payment clause at the bottom of every invoice. Something simple works:

"A late fee of 5% per week applies to invoices unpaid after the due date."

Most clients will never trigger this clause — but having it changes how quickly they respond. It signals that you track your payments and you mean business.

Common Invoice Mistakes Designers in Ghana Make

No invoice number. This makes it impossible to reference in a dispute. Always number them.

Vague descriptions. "Design services" is not a service. Be specific. Clients who feel confused delay payment.

Wrong currency. If your client is in Nigeria, invoice in NGN or USD with the GHS equivalent noted. If they are in Kenya, they may prefer KES. Clarity prevents friction.

No due date. "Payment upon receipt" is not a due date. Pick a specific date — 7 days, 14 days, 30 days from invoice date.

Sending as a WhatsApp screenshot. This is not professional. Always send a PDF via email or a download link. It creates a paper trail and is harder to dispute.

After You Send the Invoice

Send the invoice via email with a short, professional message. Something like:

"Hi [Name], please find attached Invoice INV-024 for the brand identity project. Payment of GHS 2,000 is due by 15 June 2026 via MTN MoMo to 024XXXXXXX. Let me know if you have any questions."

Follow up three days before the due date with a short reminder — no guilt, just a nudge. Most clients are busy, not malicious.

If the invoice goes unpaid past the due date, follow up the next day. After two follow-ups with no response, escalate to a phone call. Keep records of all communication in case you need to escalate further.

Your work has real value. A professional invoice is the first step to being paid like it does.
